Microsoft Dynamics GP (Great Plains): New Document Attachment Feature

MSDynamicsWorld.com recently hosted a webinar on the document attachment feature for Microsoft Dynamics GP, and you can see a recording of the session here. It was hosted by Microsoft Dynamics GP program manager Jodi Christiansen, and covered adding attachments to master records and transactions, sending attachments via email, adding attachments while scanning records, and migrating OLE notes into document attachments.

The document attachment feature was added to Microsoft Dynamics GP with the 2013 release, and has been enhanced in ensuing updates. This webinar gives a full picture of the feature and its capabilities, including demonstrations to make things clear. The topics covered are as follows:

  • Setup of the document attachment feature
  • Master records and transactions you can put attachments on
  • Putting attachments on documents that can be emailed
  • Scanning and attaching
  • Migrating OLE notes into document attachments

The master records that you can attach documents to are as follows:

  • Customer card
  • Vendor card
  • Item

The transactions you can attach documents to are as follows:

  • Sales transaction entry
  • Purchase order entry
  • Receiving transaction entry
  • Purchasing transaction entry
  • Purchase return entry
  • Payables transaction entry

For all but payables transaction entries, you can not only add an attachment at the header level, but at the line level as well. Adding attachments to payables transaction entries is a recently added feature.

Scanning and attaching was a feature added with the Microsoft Dynamics GP 2013 R2 release. When you’re scanning, you can add an attachment directly to a master record or transaction. OLE notes were replaced by the document attachment feature, and if you want to transfer all your old OLE notes into document attachments, Jodi Christiansen shows you how in the linked video.
