In our last few entries, we have been taking a look at what it is like to use the Accounts Receivable (AR) module for Microsoft Dynamics SL, including entering and previewing an invoice, entering and applying a payment, and using the various process screens to automatically apply payments or to make adjustments. Today we’re going to look at some of the information inquiries for the Accounts Receivable module.
The AR Invoice Preview enables you to view a list of all invoices that are on hold. As its title indicates, you can preview invoices, and you can also drill back to invoices. You can access the AR Invoice Preview under the “Inquiries” heading in Accounts Receivable. Click on an invoice in the line items to see its information, such as total amounts and prices, to the right. Right-click on an item to make changes to the invoice.
The Application Inquiry/Reversal screen, also found under the “Inquiries” heading, enables you to unlink payments, move payments, void payments, and process these actions in the current period. Select the customer ID at the top, select a payment, and then select what you want to do with the item, such as reversing it, reclassifying it to another customer, or voiding it. Click the Begin Processing button to enter the selected process into the system.
The Customer Inquiry screen, also found under the “Inquiries” heading, is handy for seeing all of the information related to a particular customer, such as which payments are still open, and the aging for payments still to come. You can see balances, and you can drill down to detailed information. Select the customer when the Customer Inquiry screen opens. To drill down, click a magnifying glass icon, select an item from the list that opens, then click the Invoice Details button. There is also a Customer History screen available under the “Inquiries” heading where you can view, as the title suggests, details of a customer’s payment history.
